Administrative Assistant – Bilingual  

Unifor Local 2002 is seeking to fill a full-time position for an Administrative Assistant at our Mississauga office. The Administrative Assistant will perform a variety of general administrative and clerical duties. The candidate we are looking for is self-motivated, highly productive, organized and must strive in a busy and dynamic environment. The candidate will report directly to the President of Unifor Local 2002. 


Key Responsibilities: 

  • Performs general administrative and secretarial duties such as documenting, photocopying, faxing, mailing, computer scanning, and voice messaging systems  
  • Reception duties consist of: answer, and direct phone calls, file maintenance database upkeep
  • Completes internal and external correspondence, legal documents, form letters, and other documents, and distributes them as directed (in both official languages English and French)
  • Receive, open, sort, prioritize, and distribute incoming mail
  • Coordinates organizes meetings and conferences including meeting venue bookings, catering requirements, arranges the boardroom with audio-visual equipment and flip charts as directed 
  • Prepares meeting agendas, records and distributes meeting minutes as directed
  • Arranges, coordinates, organizes, and books travel/hotel arrangements as directed
  • Maintains adequate office supplies and office equipment services
  • Monitors visitors access
  • Assist with other duties as assigned


Skills and Qualifications:

  • Completion of College, and/or relevant post-secondary education
  • Administrative Assistant diploma or related diploma 
  • Excellent written and verbal skills in both official languages 
  • Highly proficient with Microsoft Office Suite - Word, Excel, Outlook, PowerPoint, and Access 
  • Training or experience in general office accounting procedures 
  • Training or experience in the travel industry with airline/hospitality service will be given preference
  • Two to five years of working in an office environment performing similar job functions is recommended
  • Knowledge of the Labour Union sector is an asset
  • Must be punctual, professional, and flexible to work hours on occasional short-term basis: evenings or weekends 
  • Must have a personal vehicle and driver’s license

Starting Salary range $37,000 – 42,000, per annum based on experience and qualifications.  Please note the successful candidate will have a six (6) month probationary period.
